Cancellation Policy

To qualify for cancellation or reduction free of charge, written notice must be received by Charlottehaven no later than 4:00 PM on the final valid cancellation/reduction date, in accordance with the following terms and conditions.

Up to and including 15 days prior to the arrival date, the signed order confirmation for meetings, courses, conferences, exhibitions, banquets, hotel rooms, and similar events (hereinafter referred to as “the event”) may be cancelled free of charge. This is considered the final valid date for cancellation of the entire event.

Thereafter, a maximum of 50% of the final confirmed event may be cancelled. Please note that in order to cancel up to the maximum 50%, the cancellation must take place during Period 1 (see below). The “final confirmed event” is defined as all services (including VAT and environmental surcharges) ordered and confirmed on or after the final valid date for free cancellation.

  • Period 1

    Between 15 and 10 days prior to arrival, up to 50% of the final confirmed event may be cancelled free of charge.

  • Period 2

    Between 9 and 5 days prior to arrival, up to 25% may be cancelled free of charge.

    Example: If a total of 25% or more has already been cancelled during Period 1, no further cancellations may be made. If, for example, 15% was cancelled during Period 1, an additional 10% may be cancelled during Period 2, provided that the total cancellation does not exceed 25% of the final confirmed event.

  • Period 3

    Between 4 and 2 days prior to arrival, up to 5% of the total number confirmed at that time may be cancelled free of charge.

Charlottehaven reserves the right to relocate the event to more suitable facilities if the confirmed number of participants is significantly reduced.

In the event of no-show, late arrival, early departure, or late cancellation/reduction, Charlottehaven is entitled to compensation corresponding to the full price of the services cancelled too late in relation to the final confirmed event (including services ordered from external suppliers on behalf of the organiser).

Charlottehaven will, of course, attempt to resell any services cancelled too late. If the services cannot be resold at the same price, Charlottehaven reserves the right to invoice the difference between the originally booked services under this agreement and the resold services.

Payment Terms

The following applies in accordance with the agreement stated in the confirmation:

Payment on site by credit card.

Prepayment via payment link.

A 50% deposit of the gross amount must be paid 30 days prior to the arrival date unless otherwise agreed. If prepayment has not been received by the agreed date, Charlottehaven reserves the right to cancel the event without prior notice.

If the organiser fails to meet their payment obligations or otherwise materially breaches our general terms and conditions, and the organiser has not remedied the breach within five days following written notice, Charlottehaven may terminate the reservation with immediate effect and claim compensation from the guest in accordance with the general rules of Danish law regarding damages.

Invoicing

Following the event, a separate invoice will be issued for any outstanding balance, less the paid deposit. Payment must be made no later than 8 days after receipt of the invoice, unless otherwise agreed.

In the event of late payment, a fee of DKK 100.00 will be charged, as well as interest of 2% per commenced month from the payment due date until payment is made.

Force Majeure

In the event of extraordinary circumstances beyond the control of the parties, the agreement may be terminated in whole or in part without Charlottehaven being obliged to pay compensation.


Miscellaneous

According to Section 29 of the Restaurant Act, it is not permitted to serve or allow the serving of alcohol to young people under the age of 18 in establishments that sell alcohol (restaurant, café, parties, etc.).

From March 1, 2024, businesses may receive a maximum of DKK 14,999 in cash per purchase - regardless of whether the payment is made in one installment or over multiple installments.
